Planning Your First Software Project: A Step-by-Step Guide
From defining the problem to launch day — what to prepare before you speak to a developer.
By Preston Wagabi, Chief Operating Officer (COO)

Good software projects start long before the first line of code. A little preparation helps you get accurate quotes, realistic timelines and a system your team actually uses.
Step 1: Describe the problem, not the solution
Write down what is slow, expensive or error-prone today. "We lose track of which customers have paid" is more useful than "we need an app".
Step 2: List who will use the system
Identify each type of user — admin, staff, customers — and what each needs to do. This shapes permissions and screens.
Step 3: Separate must-haves from nice-to-haves
Launching with the essentials gets value into your hands sooner. Additional features can follow in later phases.

Step 4: Gather what you already have
Spreadsheets, forms, reports and existing tools tell a developer a lot about your data and process.
Step 5: Agree on how success is measured
Time saved, fewer errors, faster payments — pick a few measures so you can tell whether the project worked.
Step 6: Plan for life after launch
Budget for training, support and improvements. Software is most valuable when it keeps evolving with your business.
