How we collect, use and protect your personal data, and the rights you have under Kenyan law.

Last updated: 5 November 2026

1. Who we are

WikiTeq Solutions ("WikiTeq", "we", "us") is a software development company based in Nairobi, Kenya. We build business management systems, websites, custom software and our own products, including Chuo, Dukafy, Kolekta, CareFlow and RentFlow. This policy explains how we handle personal data collected through wikiteq.co.ke and when you contact us.

We process personal data in line with the Kenya Data Protection Act, 2019 and its regulations.

2. Personal data we collect

  • Information you give us: your name, email address, phone number, company name and the details of your enquiry when you fill in a form, email us, call us or chat with us on WhatsApp.
  • Usage information: pages visited, time on site, referring pages, approximate location, device and browser type, collected through analytics tools when they are enabled.
  • Technical information: IP address and basic request logs kept by our hosting providers for security.

We do not ask for sensitive personal data through this website.

3. How we use your data

  • To reply to your enquiry, prepare quotes and provide the services you request.
  • To deliver, support and improve our products and services.
  • To understand how visitors use our website so we can improve it.
  • To send updates or offers, only where you have agreed to receive them. You can opt out at any time.
  • To keep our website secure and meet legal obligations.

5. Who we share data with

We do not sell your personal data. We share it only with service providers that help us run our business, such as email delivery, website hosting, analytics (Google Analytics and Google Tag Manager) and WhatsApp (Meta) when you choose to chat with us. These providers process data on our behalf and are required to protect it. We may also disclose data where the law requires it.

Some providers may store data outside Kenya. Where this happens, we take steps to make sure your data is protected as required by the Data Protection Act.

6. Cookies and analytics

Our website uses a small amount of browser storage to remember things like whether you have already seen a pop-up. When analytics is enabled, Google Analytics may set cookies to measure visits. You can block or delete cookies in your browser settings; the website will still work.

7. Data in client systems we build

When we build or host a system for a client, the client decides what data the system holds and is the data controller. We act as a data processor, follow the client's instructions and keep that data confidential.

8. How long we keep data

We keep enquiry information for as long as needed to respond and follow up, and client records for as long as our working relationship and legal obligations (such as tax records) require. We then delete or anonymise it.

9. How we protect data

We use HTTPS, access controls, and reputable hosting and email providers to protect personal data. No system is completely secure, but we take reasonable steps to prevent loss, misuse and unauthorised access.

10. Your rights

Under the Data Protection Act, you have the right to be informed about how your data is used, to access it, to ask us to correct or delete it, to object to its processing, to withdraw consent, and to data portability. To use these rights, email [email protected]. You may also complain to the Office of the Data Protection Commissioner (ODPC) at odpc.go.ke.

11. Children

Our website is meant for businesses and is not directed at children. We do not knowingly collect personal data from children through this website.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
